Important Dates and Deadlines
JANUARY 1
- New officers and chairs begin terms
- New fiscal year begins
- Bonding Committee ascertains status of the Crime Bond Insurance for Academy
- Treasurer reviews signature cards for bank accounts and takes appropriate action
- Treasurer deals with request for Entity Annual Report (E-1) that should be handled by the State Library
JANUARY 15
- Notice of Summer Fellowship for secondary science teachers
- Treasurer sends copies of annual financial report of previous year to Auditing Committee
- President provides the Executive Director with a list of committee appointments
- Secretary provides the Executive Director with a list of section chairs and vice chairs (chair-elect)
FEBRUARY 1
- Newsletter deadline for March (spring) issue (to include the first call for papers)
- Youth Activities Chair sends notice of high school research grants
- Secretary notifies Committee Chairs and Section Chairs of their duties and deadlines
- Treasurer send copies of audited financial report to the Budget Committee and accountant (if applicable)
- Deadline for providing the website coordinator with updated home page information
FEBRUARY 15
- Deadline for Programs and Invitations and Executive Committees to finalize schedule of major events for meetings
- Deadline for high school students to apply to the Research Committee for research grants
MARCH 1
- Proceedings Editor sends Requisition for Printing (Form 21301R) to State Department of Administration
- Research Grants Committee’s spring deadline for receipt of proposals from senior members
MARCH 15
- Chair of Local Arrangements Committee sends program of Spring Meeting to all members
- Science Talent Search Chair sends names and addresses of winners to Secretary and Executive Director for complimentary membership
- Target date for applications for Summer Research Fellowship for Teachers
- Executive Director sends second dues notice to persons and organizations who have not paid
APRIL 15
- Research Grants Committee announces research grants (spring round)
- Deadline for completion and distribution of yearbook
SPRING MEETING
- Officers and select committee chairs report to the Council
MAY 1
- Deadline for election petitions to be received by the Chair of the Nominations Committee
MAY 15
- Newsletter deadline for June (summer) issue (to include the second call for papers)
- Deadline for Treasurer to file Federal (Form 990) and State (Form IT-35AR) Returns for tax-exempt organizations
- Deadline for Proceedings Editor to send request for Allotment (Form 5750) to State Budget Agency
- Deadline for Summer Research Fellowship Chair to complete arrangements for summer programs
JUNE 1
- Name of speaker of the year submitted to the Executive Committee
- Deadline for nominations to reach Nominations and Elections Committee
- Youth Activities Committee sends grant proposal to AAAS for high school research grants funds
- Deadline for nominations to the Awards Committee
JULY 1
- Secretary to provide each section chair with membership list for his/her section
- Executive Director purges unpaid members from membership list and sends list to the President
AUGUST 1
- Proceedings Editor submits forms for the biennial
- Budget request from the State Budget Agency after first obtaining the President’s signature (only in even-numbered years)
AUGUST 10
- Deadline for section chairs to contact section members for paper titles
SEPTEMBER 1
- Newsletter deadline for October (fall) issue
- Deadline for members to get paper titles and abstracts to section chairs
- Deadline for Nominations and Elections Committee to mail ballots
SEPTEMBER 5
- Section Chairs submit section programs to Local
SEPTEMBER 15
- Fall deadline for receipt by Research Grants Committee of research grant proposals from senior members
OCTOBER 1
- Deadline for receipt of fall issue of Newsletter
- Deadline for Local Arrangements Chair to mail Program and Abstract booklet to all members
- Deadline for elections ballot to reach the Secretary
- Fall deadline for receipt of research grant proposals from high school students
OCTOBER 15
- Research Committee announces fall grant recipients
FALL MEETING
- Officers and select committee chairs report to the Council
- Sections provide name of chair and vice chair for the upcoming year to the Secretary
NOVEMBER 1
- Newsletter deadline for December (winter) issue
- Deadline for officers and committee chairs to submit budget requests to the Treasurer
DECEMBER 1
- Executive Director sends first dues notice for next year
DECEMBER 15
- Deadline for Budget Committee to meet and approve next year’s budget
- Treasurer prepares the Indiana Non-Profit Corporation Report (State Form 2423R5) and submits it to the Secretary of State
